4. Approved AI Tools

  • Our Chief Technology Officer (CTO) will maintain a list of conditionally approved commercial Gen AI tools for use with open-source information only.
  • The approval process will consider accuracy, security practices, supply chain risk management, privacy safeguards, and the ethical sourcing of training data.
  • Employees may submit additional tools for review and testing through our internal knowledge base.

5. Use of AI Tools

  • Employees must never input confidential client data, proprietary information, or any sensitive data into commercial Gen AI tools.
  • Prior to using AI tools, employees must:
    • Obtain approval from their supervisors
    • Complete training on responsible AI use
    • Sign an acknowledgment of the conditions of use
  • Employees will use company-provided accounts for AI tools, separate from any personal use.
  • When using AI tools, employees should opt for settings that limit data retention and opt out of having inputs used for model training.
  • All use of approved AI tools will be through web interfaces, not downloaded applications.

6. Data Protection and Privacy

  • Employees shall protect any personal or sensitive information in accordance with Valkit.ai's privacy policies and applicable laws and regulations.
  • Any data breach or accidental input of sensitive information into AI tools must be reported immediately to the IT security team.

7. Customer Data Protection and Isolation

  • All customer data is maintained within the customer's dedicated instance of the Valkit.ai platform.
  • Customer data is never sent to or used to train commercial Large Language Models (LLMs) or any other external AI systems.
  • The AI capabilities within the Valkit.ai platform operate exclusively on the customer's isolated instance, ensuring data confidentiality and integrity.
  • Regular audits are conducted to verify the isolation and protection of customer data from external AI systems or training processes.
  • Customers have full visibility and control over their data usage within their Valkit.ai instance.

8. Quality Assurance and Accountability

  • Employees are responsible for reviewing all AI-generated content for accuracy, relevance, data sensitivity, and potential bias before using it in any official capacity or client-facing materials.
  • AI tools may not be used in critical decision-making processes related to product validation, regulatory compliance, or any other core functions without explicit approval from the CTO.

9. Appropriate Applications

Recommended uses of commercial Gen AI tools at Valkit.ai include:

  • Generating first drafts of documents for human review
  • Conducting and synthesizing research on open-source scientific literature
  • Developing internal briefing materials or preparing for client meetings
  • Assisting in the creation of training materials for our digital validation tools
